Job Summary:
We are looking for a detail-oriented and dynamic Events Coordinator to join our team. The Events Coordinator will be responsible for assisting in the planning, coordination, and execution of a wide range of events, including corporate meetings, conferences, weddings, social gatherings, and other special events. The ideal candidate will have strong organizational skills, excellent communication abilities, and a passion for delivering exceptional events.
Key Responsibilities:
• Event Planning and Coordination: Assist in the planning and coordination of all aspects of events, from initial conception to execution, including venue selection, logistics, catering, audio/visual setup, and decor.
• Client Liaison: Serve as the main point of contact for clients, understanding their needs, and ensuring their vision is realized. Provide regular updates and communication throughout the planning process.
• Vendor Management: Coordinate with vendors and suppliers, including negotiating contracts, scheduling, and ensuring the timely delivery of services.
• Budget Management: Assist in the preparation and management of event budgets. Track expenses and ensure events are delivered within budgetary constraints.
• On-site Event Management: Oversee event setup, execution, and tear down. Ensure all details are in place, troubleshoot any issues that arise, and ensure a smooth, successful event experience for all attendees.
• Marketing and Promotion: Collaborate with the marketing team to develop promotional strategies for events, including social media, email campaigns, and other marketing efforts.
• Post-Event Activities: Conduct post-event evaluations to gather feedback from clients, attendees, and vendors. Prepare reports on event outcomes, including budget reconciliation and client satisfaction.
• Administrative Duties: Handle event-related administrative tasks, including maintaining event files, managing schedules, and processing invoices and payments.
RequirementsQualifications:
• Education: Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, or a related field preferred.
• Experience: Minimum of 2-3 years of experience in event planning, coordination, or a related field.
